Who we are
OFFLINE EVENTS LTD., 46 Elma St, Etobicoke, ON M8V 1X8, operates RALLY and this website. For anything privacy related, email keith@letsmeetoffline.org.
What we collect and why
Teachers and school staff register their school. We collect your name, work email, phone, role, school and group size so we can hold seats, confirm your booking and send you logistics for the day. We do not collect personal information from students to register.
If you contact us, apply to partner, volunteer or speak, we collect what you give us so we can respond and follow up
Some forms include an optional opt-in for RALLY news. If you tick it, we’ll email you occasional updates. Every email has an unsubscribe link.
RALLY is photographed and filmed. Student participation in identifiable content requires a media release signed by a parent or guardian.
Voluntary and anonymous. We don’t ask for names or contact details and we only report results in aggregate.
Who we share it with
We don’t sell personal information or give partners contact details for their own marketing. We share only what’s needed with our production partner MCI and our venue Meridian Hall to run the day, and with service providers such as Google Workspace and Tally who store information on our behalf, some of it outside Canada. Partners and funders receive attendance and survey results in aggregate only.
How long we keep it
We keep information as long as needed for the purpose we collected it, then delete it. Registration and contact details are kept through the following festival year so we can invite your school back.
Your rights
Under PIPEDA you can ask to see or correct the personal information we hold about you, or withdraw consent, by emailing keith@letsmeetoffline.org. We’ll respond within 30 days. If you’re not satisfied, you can contact the Office of the Privacy Commissioner of Canada at priv.gc.ca.
Event Forms
Only blank forms are published on the For teachers page. Downloading a form is not consent. Completed forms are handed in on the day.
The RALLY media release is our form and is handled under this policy. The SUSO Skate Co. permission form belongs to SUSO Skate Co. and is handled under their practices, not ours.
